Job Description: 

This position has two primary focuses:
1) to manage and administer the box office and reception services including e-commerce and in-person visitor engagements, serving as the point of contact at the front desk, and
2) to support digital activations in all programs on our website, live stream, creation of videos including editing, and website updates/maintenance.

As with all positions at the Centre, the successful candidate needs to be flexible, punctual and possess excellent customer service skills. This position will require multi-tasking and liaising with various members of the staff team on a variety of projects. There will be occasional periods of over-time required. 

As the Box Office and Digital Services Coordinator, you will be responsible for:
  • Reception greeting, way finding, phones;
  • Facilitation of registrations, ticket sales, donation receipts, etc;
  • Prepare reporting for classes and events;
  • Liaise with Front Of House/Operations staff to ensure they have what is needed for patron management during the program
  • Visitor tracking, reporting, and analytics including views/attendance in digital programming;
  • Deliver a personal and enhanced visitor experience;
  • Support virtual learning platforms for teachers and students;
  • Website live-chat support
  • Visitor awareness-raising and provision of information on all Centre events and programs;
  • Participation in emergency response as part of the team;
  • Communication boards/digital platforms for programs, events, rentals;
  • Creation and activation of digital materials and programming in consultation with programmers;
  • In-house video production and support;
  • Live stream support during applicable events and programs;
  • Support the needs of any program requiring digital output and e-commerce;
  • Ticketing/program registration software oversight;
  • Digital analytics and reporting;
  • Updates and maintenance of website;
  • Input new e-mail subscribers into Constant Contact database;
  • Train staff/volunteers in the use of digital services as necessary;
  • Maintains CASL compliance;
  • Support social media activity.

Requirements: 

Education
An undergraduate or college degree in arts administration, communications, customer relations and/or a related field or an equivalent combination of professional experience and education related to the responsibilities of the position

Experience
Minimum one year experience in box office services including programming of box office software

Skills
1. Proven effective communication and interpersonal skills (written and verbal)

  • for customer service to accurately disseminate information; to be sensitive to diverse communities and abilities; provide mature, level-headed responses, diplomacy and tact
  • for daily interactions with internal interdepartmental with managers and support staff
  • sales skills an asset to help customers with programs and cross promotion of events
  • listening skills to understand and translate the needs of other staff into a digital product

2. Above average computer and technical skills in digital applications including knowledge of or willingness to learn

  • Microsoft suite of programs
  • Vimeo
  • AudienceView
  • Website applications
  • Editing software
  • Writing code to activate digital services

3. Research skills to determine best application of digital solutions for ease of use by the community
4. Enthusiasm, creativity and strong organizational skills

Salary: 
$40,000 – $45,000 salary range plus benefits. Full time employment.

We proudly program four vibrant gallery exhibition spaces, a range of instructional classes for children, teens and adults, an eclectic live music series, special family events and summer arts camps.

This full-time position requires the successful candidate to be available for Monday – Friday 8:00-5:00pm with some flexibility for evenings and weekends to support events. The successful candidate will be detail-oriented, have proven exceptional customer service skills, proven digital acumen, flexible in their ability to shift from one task to another, be a generous team member, and proficient in handling administrative tasks including payment processing.
