Job Description: 

Ontario Presents (OP) seeks to provide work experience to an individual who wish to build a career in the performing arts touring and presenting field.

Ontario Presents is a not-for-profit, member-based network of performing arts presenters, artists and artist managements operating in the Province of Ontario. It administers a wide selection of participatory programs for its members and the wider touring and presenting field in the areas of block booking, performance travel coordination, professional development, conference hosting, and leadership development.

This position will be supported in part by Employment and Social Development Canada’s (ESDC) Career Focused Program and will provide work experience to an individual who is between the ages of 15 and 30 years, is highly skilled and has the technical skill to do the job.  The purpose of ESDC’s Career Focused Program is to provide work experience opportunities for individuals to develop careers in their chosen field of interest. Previous work experience in the touring and presenting field is not required.

The candidate selected for this position will gain practical, hands-on work experience in managing and coordinating the following OP programs: Ontario Dances; Theatre Connects; Northern Dances; Conference Sponsorship, OP Spring Retreat; Blue Sky Day; and two special projects: the IAMA Toronto 2016 Conference and the Community Engagement Learning Project.

Work Experience Duties

The following are the duties required of the Network Coordinator broken down by program:

Ontario Dances and Theatre Connects

  • Organize showcases of contemporary dances
  • Coordinate payments and reporting between OP and the Ontario Arts Council’s Dance Office.
  • Research, inform and coordinate participant travel to contemporary dance events/performances
  • Assist with professional development sessions
  • Track and process participants’ travel, hotel, and per diem expense claims as per program guidelines
  • Coordinate Program Director’s event and travel schedules
  • Coordinate and update Ontario Dances online presence

Fresh Start (Young Audience Network, Northern Dances)

  • Coordinate travel and schedules for presenters to attend professional development workshops and industry showcase events
  • Schedule and coordinate participants’ travel and accommodation, ordering meals, booking and setting up meeting spaces.
  • Track and process participants’ travel, hotel, and per diem expense claims as per program guidelines
  • Prepare written reports (interim and final) as required by funding agencies reporting on activities undertaken and outcomes achieved.

Ontario Contact 2016 (Peterborough)

  • Develop, follow-up, and close conference event sponsorship agreements with sponsors
  • Promote sale of program ad spaces to conference artists, agents, exhibitors, and presenting venues
  • Assist with the conference logistics including sponsor signage, room set-up, delegate registration and direction.

Members’ Annual Spring Retreat (Parry Sound)

  • Liaise with retreat host to confirm numbers of members attending, hotel rooms required
  • Arrange locations and menu selection for retreat meals
  • Book OP staff travel and hotel accommodations

Annual Blue Sky Day

  • Liaise with retreat host to confirm numbers of members attending
  • Arrange for caterer and menu selection of Blue Sky Day lunch

IAMA Toronto 2016

  • Coordinate travel and accommodation for visiting speakers/facilitators and artists participating in the 2016 conference in Toronto
  • Complete financial and activity/outcome reporting to funding agencies that are supporting the conference
  • Organize scheduling and booking of conference hotel and venue meeting spaces
  • Organize hosting/greeting of conference delegates arriving in the city
  • Arrange meeting support for IAMA program committee including travel and hotel arrangements
  • Track and process expense claims submitted for payment

Community Engagement Learning Project (CELP)

  • Schedule and book meeting spaces for CELP Advisory Group

Administration

  • Provide administrative support to OP’s Program Director including scheduling/booking of travel and hotels
  • Process and submit Program Director’s expense claims for payments
  • Provide administrative support to Program Director and Program Associate for OP’s block booking programs
  • Track and ensure that report on above programs are prepared and submitted on time as per reporting requirements for each program
  • Provide summary of program activities to OP’s Executive Director for quarterly board reports.
  • Participate in bi-weekly, OP staff conference calls

Nature of Work

The successful candidate will work under the direct supervision of OP’s Program Director, Judy Harquail, and will work from OP’s Toronto-based office at the Centre for Social Innovation, 215 Spadina Avenue.  Regular office hours are 9 a.m. to 5 p.m. Monday to Friday

The candidate must be able to start her/his employment between May 11th and 22nd, 2016.

Skills and Competencies Required

This opportunity provides the intern with work experience in: budgeting; expense tracking; travel, meals, and hotel booking; sponsorship and ad sales; contract administration; grant writing and reporting; special event registration and set-up; artist/agent/presenter business relations; and

The Network Coordinator must be highly skilled in the use of a wide range of digital productivity applications including word processing and spreadsheet computing, have excellent oral and written communication skills, be well-organized, and have the ability to work under pressure when meeting deadlines.

Remuneration

This position has a competitive salary range between $675 and $768.75 per week (less standard deductions for EI, CPP, and income tax) dependent upon skill level.
