Our Commitment
Ontario Presents is committed to protecting the privacy of the personal information of its members, Executive Committee Members, employees, web-users and other stakeholders.
During the course of our various programs, services and projects, Ontario Presents frequently gathers and uses personal information. Anyone from whom we collect such information should expect that it will be protected and that any use of or other dealing with this information is subject to consent. Ontario Presents’ privacy practices are designed to achieve this.
Privacy Policy
Personal Information Protection and Electronic Documents Act (PIPEDA):
- Protects personal information from improper use and disclosure
- Gives the right to individuals to request information about themselves
- Gives the right to individuals to request corrections or additions to their personal information if they feel there are inaccuracies

Defining Personal Information
Personal information is any information that can be used to distinguish, identify or contact a specific individual. This information can include an individual’s opinions or beliefs, as well as facts about, or related to, the individual.
Exceptions: business contact information and certain publicly available information, such as name, job title, addresses and telephone number as published in telephone directories or can be found through publicly available information, are not considered personal information.
Privacy Practices
Information collected through membership applications/renewals, conferences, workshops, events, etc is used to make the services and programs of Ontario Presents possible.
Personal information gathered by Ontario Presents is kept in confidence. Only authorized Ontario Presents personnel have access to this information. Safeguards are in place to ensure that the information is not disclosed or shared widely than is necessary to achieve the purpose for which it was gathered.
Ontario Presents strives to handle all personal information collected with the following intent:
- Collect information with consent and for a reasonable purpose
- Use and disclose for the limited purpose for which it was collected
- Maintain Accuracy
- Ensure the information is accessible for inspection and correction by the individual involved
- Store the information securely
- Destroy/dispose of securely when no longer required
Ontario Presents does not sell, trade, or rent personal information to other organizations or individuals. If ever share your information with an outside organization (such as web developers), we have a contract binding them to the same strict privacy controls that we use ourselves.
Membership
Ontario Presents requests that its Members provide contact information and complete a Profile Questionnaire. This information is used to contact Members (by mail, fax, or email) in fulfillment of their Ontario Presents Membership. Contact information collected includes (where applicable): contact name, contact title, organization mailing address, phone number(s), fax number, email address, website address. The Ontario Presents Member Questionnaire collects information, including (where applicable): facilities and structural information, company descriptions, touring availabilities, fee ranges, artist fees and other financial information as required from time to time, for the purposes of providing membership benefits, communication, statistical comparisons, and for educational purposes.
It is understood that a benefit of Ontario Presents Membership is the inclusion of such information in a variety of sources: online member profiles and search directory. It is also understood that some of the information is collected and made accessible to Ontario Presents and other performing arts-industry related contacts, in order to further the goals of the performing and presenting industry in a professional and collegial manner. Should any member wish at any time have their contact information or other information removed from these distribution vehicles, that request will be heeded immediately by Ontario Presents. Personal information that is no longer required to fulfill the stated purpose will be destroyed or made anonymous.
Website
Ontario Presents may gather information about web site traffic useful for improving the design and content of our site so that we can continue to better suit your needs. This information does not identify individual website users and does not include personal information, but includes information about your visit on the site such as:
- The name of your Internet service provider, its IP address and the name of your service provider’s service.
- The length of each visit.
- The number of requests per visit.
- Your type of operating system (Windows, MacIntosh, Unix, etc.)
- Your browser type (Netscape, Internet Explorer, etc.)
Our site includes links to other websites whose privacy policies we don’t control. Once you leave our servers (you can check where you are by looking at the URL in the location bar on your browser), use of any information you provide is governed by the privacy policy of the operator of the site you are visiting. That policy may differ from ours. If you can’t find the privacy policy of any of these sites via a link from the site’s homepage, you should contact the site directly for more information. Ontario Presents is not responsible for the privacy practices or the content of such websites.

The on-line credit card processing (used for Membership registrations, Members Retreat registrations, Ontario CONTACT registrations) is handled through our secured server and our on-line merchant services provider Beanstream Internet Payment Processing. Ontario Presents aims to deliver the highest levels of trust and security so that participants can be certain that our site is genuine, and that the information collected through the site remains private and confidential.
Electronic Communication
It is best to think of e-mail much like you do a postcard—it is not sealed, and can be read by anyone determined to do so. This is important to remember whenever you divulge information that you consider private. Ontario Presents advises against emailing private financial information, such as credit card numbers.
Brochure Requests (Membership Brochure, Ontario CONTACT brochure, Ontario Touring Resource Guide, etc.)
When you request a brochure regarding Ontario Presents membership, publications, conferences, workshops, etc. we will add your contact information to a mailing list. This list is exclusively for the purposes of distributing this information.
Financial Information
Ontario Presents collects personal financial information for membership fees, conference fees, workshop fees, Ontario Contact registrations, etc. Ontario Presents will protect all personal financial information that you share with us. For reasons of security, we do not store credit card information in our membership or registration databases. We do retain order information for our records, and if this information is handled by a third party, we have a contract binding them to the same strict privacy controls that we use ourselves.
